1. Scope and data controller
Root Valley Farms™ operates the Root Valley Farms™ website, business-management system and Root Valley Operations application. The Operations application is intended primarily for authorised employees, field executives, supervisors and business users. Root Valley Farms™ is responsible for the personal information processed through these services.
2. Information we collect
Depending on the user's role and the activity being performed, we may collect:
- account information such as name, mobile number, email address, employee ID, department, role, profile photograph and authentication records;
- supplier, farmer, customer, employee and business contact information entered by authorised users;
- procurement, stock, batch, warehouse, billing, payment, dispatch, delivery, attendance and task records;
- photographs, signatures, proof-of-delivery records, documents and QR-code scan results;
- precise or approximate location, route and timestamp information where a workflow requires location verification, delivery routing, attendance or trip tracking;
- device, network, IP address, application version, diagnostic, login and synchronisation information; and
- information submitted through website enquiry or support forms.
Payment card, bank or UPI credentials entered directly into an authorised payment provider are processed by that provider. Root Valley Farms™ may receive the payment status, amount, transaction reference and related reconciliation information.
3. Mobile application permissions
- Camera: to scan QR codes and capture operational, inventory or proof-of-delivery photographs.
- Location: to capture the current work location, support attendance, routing, patrolling, dispatch, delivery and live-trip tracking. Where enabled for an assigned trip, location collection may continue while the app is in the background.
- Bluetooth and nearby devices: to discover, connect to and print through an authorised thermal printer.
- Photos and files: to select, capture, store or upload permitted business documents and images.
- Notifications: to show assigned work, approvals, synchronisation status and operational messages.
You can manage permissions through the device settings. Disabling a permission may prevent the related operational feature from working.
4. How we use information
We use information to authenticate users, enforce role-based permissions, assign and complete work, process procurements and orders, manage inventory, prepare invoices and receipts, collect and reconcile payments, plan routes, confirm delivery, administer employees, maintain audit records, provide customer support, send authorised operational communications, improve reliability and comply with legal or accounting obligations.
Information collected for authorised business operations is not sold to third parties.
6. Offline storage, synchronisation and security
The Operations application may temporarily save assigned tasks, reference data, photos and transactions on the device so authorised work can continue without internet access. Pending records are synchronised with Root Valley Farms™ systems when connectivity becomes available.
We use reasonable administrative, technical and access-control safeguards. Users must protect their password, device and printed records, must not share accounts, and must report a lost device or suspected unauthorised access promptly. No electronic system can be guaranteed to be completely secure.
7. Data retention
We retain information for as long as an account or business relationship remains active and thereafter for operational, employment, taxation, accounting, dispute-resolution, audit and legal requirements. Unsynchronised device records may remain until they are successfully synchronised or safely removed. Information no longer required is deleted, anonymised or securely restricted in accordance with applicable requirements.
8. Access, correction and deletion requests
Authorised users can update certain profile information in the application. To request access, correction, account deactivation or deletion of eligible personal information, email contact@rootvalleyfarms.in from the registered email address and include the registered name and mobile number.
We may verify the requester's identity before acting. Some records cannot be deleted immediately where retention is required for payroll, employment, invoices, taxation, security, audit, legal claims or other lawful business purposes. In such cases, access will be restricted and the information will be retained only as required.
9. Children's privacy and policy changes
The Operations application is a business tool and is not directed to children. We do not knowingly provide Operations accounts to children. We may update this policy when our services, legal obligations or data practices change. The revised effective date will be displayed on this page.
